About the role
The Operations Coordinator supports the daily operations of the transportation department, ensuring safe, timely, and customer-centered service for PACE participants (members). This role works closely with dispatch, scheduling, and field staff to organize routes, update participant information, resolve service challenges, and maintain accurate documentation. The Operations Coordinator acts as a central communication link between drivers, the Transportation Manager, PACE Center staff, and scheduling teams to ensure operational efficiency and exceptional participant experience.
What you'll do
Key Tasks and Responsibilities
Scheduling & Route Coordination
- Assist in the daily creation, modification, and distribution of participant schedules and route assignments.
- Support dispatch teams in real-time adjustments, communicating changes to drivers and staff as needed.
- Ensure trips are accurately entered, updated, and marked delivered at the end of each day.
- Monitor participant daily changes (addresses, phone numbers, attendance status, appointment types, etc.) to keep
schedules current.
- Perform trips as needed to provide coverage and support operational needs, ensuring that all duties are fulfilled in a timely manner.
Driver Support & Department Operations
- Assist in maintaining scheduling consistency, preventing routing inefficiencies, or duplicate pickup assignments.
- Support onboarding and training initiatives for new team members as delegated by the Transportation Manager.
Data Management & Reporting
- Maintain transportation logs, activity records, and internal notes for review.
- Accurately update participant records in required systems, including addresses, schedules, and status notes.
Communication & Customer Service
- Build positive rapport with PACE participants and communicate courteously regarding upcoming appointments,
transportation timing, or changes.
- Assist in responding to participant or family calls regarding route status or concerns, escalating issues to management
when necessary.
- Collaborate closely with the PACE center team, scheduling staff, and dispatch to address operational needs or scheduling
challenges.
- Participate in staff, internal communication, and PACE-related meetings as assigned.
Qualifications
Education & Training
- High School graduate.
- Preferred: Commercial driver license with passenger endorsement.
- Ability to learn and utilize dispatching and transportation software systems including:
- OCS (One Care Solutions)
- MS Teams
- Payroll/HR systems (such as Rippling)
- Internal communication platforms
Knowledge and Experience
- Experience in Senior Care or related human services industry
- One-year experience with the elderly required
- Extensive knowledge of surrounding areas streets, neighborhoods and traffic patterns
- Vehicle scheduling and dispatching a plus

Working Conditions
- Fast-paced transportation environment requiring constant communication and schedule coordination
- May involve occasional early morning, evening, or on-call support based on operational needs
Physical Requirements
Driver must be able to pass the physical test:
- Be able to push 150lbs and lift 50lbs minimum
- Position requires working in a seated position while operating computer, keyboard, mouse, phones and printers and filing of documents
- Position may require standing/walking for up to 4 hours
